Invitation emails for participants are generated automatically using a template. There is a default template available, which you can customize to fit your needs.

Use our easy to use editor to adjust the templates for the invitation and thank you emails to your liking. The editor includes the following fields:

  • Invitation email - Informs your participant about your study and allows them to participate:
    • Subject line - decide what the subject of your mail should be. Make sure that the subject doesn't sound like spam.
    • Text body - use the body of your email to describe the details of your study to your potential participant. Mentioning a reward will increase the interest of your potential participants in your study.
    • Action button - choose the text of the button in the email that will redirect your participants into your study. You can also change the color of the button here.
    • Signature - this will be appended at the end of your email to let your participants know who is inviting them to participate in a study. You can customize the branding logo by uploading your own image in the setup (available only on certain plans).
  • Thank you email - Sent to your participants after they complete your study. Like with the invitation email, you can edit the Subject line, Text body and the Signature (you can copy the signature from the invitation email). You can include a promo code reward in your Thank you email, if you added promo codes to the setup of the study you are recruiting for and the promo code list is set to active. Use the “Promo code” field to edit how the reward will be presented.

Each field can be created as a combination of plain text and variables. Variables will be replaced in the email itself with the values that they are bound to. You can select any of the participant details you have in your database as a variable. The value will be automatically replaced based on the information of the specific participants. Other available variables include:

  • Researcher details
    • Team name
    • Researcher name
    • Researcher email address
  • Other details
    • Study name
    • Sender name
    • Reply address
    • Coupon code - assigned automatically from the list of promo codes set up in the study you are recruiting for
    • Coupon expiration

You can also add links to the text body of your Invitation and Thank you emails as well as into your signature. The links can lead either to your website or can be set up as a mail to link as well. To make sure your email looks like you want it to, use the Preview option to see the generated email. You can also use the Test mail option to send either the Invitation email or the Thank you email to an address of your choosing.
